Key production numbers
Air planningOften measured in days, with chargeable weight based on actual or volumetric weight.
Sea planningOften measured in weeks and better suited to planned, denser volume.
Quote inputsCartons, dimensions, gross weight, pickup, destination, commodity and readiness date.
Best practiceCompare door-to-door landed cost and schedule, not headline freight alone.
Choose based on the launch constraint
Air is normally selected when time and inventory availability matter more than freight cost. Sea is normally selected when the shipment can be planned earlier and volume makes ocean transport commercially attractive. Neither route has one universal transit time or price.
Compare the route from factory pickup to final delivery. Airport-to-airport or port-to-port quotations exclude work that the brand still needs to arrange.
How air freight is charged
Airlines and forwarders commonly compare actual weight with volumetric weight and charge the higher result. Apparel cartons can become volume-sensitive because garments occupy space even when they are not extremely heavy.
Reduce avoidable packaging volume without compressing garments in a way that harms presentation. Confirm whether the quote includes pickup, export handling, security, fuel, destination handling, clearance and last-mile delivery.
How sea freight is charged
Ocean options include consolidated less-than-container load and full-container arrangements. Small LCL shipments can carry minimum, handling and destination charges that make the headline ocean rate misleading.
The International Maritime Organization’s container convention establishes uniform safety requirements for freight containers, but commercial schedules still depend on carrier routes, port operations, consolidation and inland transport. Allow buffer for handoffs and port disruption.
Customs and documents do not disappear
Both air and sea shipments need accurate commercial invoices, packing lists, product descriptions, value, origin and classification direction. Textile and apparel imports can also require destination-specific labeling and product compliance.
CBP notes that U.S. textile imports involve rules covering origin, fiber and care information. Use a licensed broker for classification and duty questions; the factory should provide accurate product and material data, but the importer remains responsible for its entry.
Use split shipping selectively
A brand can send launch samples or a small first quantity by air and the balance by sea. This can protect a campaign date without putting every unit on the fastest route.
Split shipments create two clearances, two deliveries and more coordination. Model the cash and stock benefit before assuming the split is cheaper.
Build a freight decision sheet
Collect final carton dimensions and weight after packing is confirmed. Compare door-to-door cost, estimated transit, validity period, included services, customs responsibility, insurance, storage exposure and delay process.
Rates and capacity change. Request time-stamped quotations close to cargo readiness and avoid publishing an old freight number as a permanent landed-cost assumption.
Sea and air freight decision table
| Factor | Air freight | Sea freight |
|---|---|---|
| Speed | Usually days | Usually weeks |
| Cost pattern | Higher, weight/volume sensitive | Lower at scale, handling sensitive |
| Best use | Urgent or smaller planned release | Larger planned replenishment |
| Packaging | Volumetric weight matters | CBM and consolidation matter |
| Schedule risk | Flight capacity and clearance | Sailing, port and consolidation |
| Quote basis | Door-to-door chargeable weight | Door-to-door LCL/FCL scope |
Frequently asked questions
Is air always faster?
Usually, but pickup, booking, customs and final delivery still affect the door-to-door result.
When is sea cheaper?
It often becomes more attractive as planned volume grows, but LCL handling and destination fees must be included.
Can I split one order?
Yes, if cartons and documents clearly separate the shipments and the commercial benefit justifies two routes.
Who supplies the HS code?
A broker or importer should confirm classification using accurate product and material data.
Does DDP decide the transport mode?
No. Incoterm responsibility and the physical freight mode are separate decisions.
When should I request the final quote?
When cargo-ready date, cartons, dimensions, weight, pickup and destination are sufficiently confirmed.
