Start with a manufacturer-ready brief
Define product category, construction, fabric, quantity, colour-size breakdown, branding, quality level, destination and launch date. Factories cannot assess fit from a message that asks only for the cheapest price.
Use a tech pack when possible. Otherwise provide references, a measurement chart and a list separating critical requirements from flexible preferences.
Build a focused shortlist
Search by capability, not only country. A factory experienced in heavyweight streetwear may fit better than a large general supplier. Review product evidence, machinery, order range, export experience and communication.
Directories can generate leads, but verify the business behind each listing. Compare company name, address, domain email, registration and payment beneficiary for consistency.
Ask operational questions
Ask who develops patterns, how fabric is sourced, what MOQ applies to, how samples are approved, which inspections occur and how changes are recorded. Good answers are specific and acknowledge dependencies.
Request recent evidence relevant to your product. Certifications matter only when current, applicable and verifiable.
Use sampling as a working test
A sample evaluates more than sewing. Watch whether the supplier identifies missing information, controls revisions, records measurements and explains trade-offs. Review fit, construction, fabric, decoration, labels and finishing in writing.
Do not authorize bulk with unresolved comments. When a critical material changes, decide whether a new sample or test is required.
Protect production and delivery
Use a purchase order tied to the approved specification, quantity, tolerances, packaging, inspection and shipping term. Confirm payment milestones and change control.
Plan freight and customs before completion. DDP and DDU allocate responsibility differently, and arrival at a forwarder is not delivery to your warehouse.
China sourcing checklist for apparel buyers
Check whether the supplier can show work similar to your product category. A supplier strong in lightweight promotional tees is not automatically the right partner for heavyweight streetwear or lined outerwear.
Ask for process evidence rather than only finished product images. Cutting tables, sewing lines, inspection records, print setup, packing and sample comments show how the supplier controls work.
What to avoid when comparing suppliers
Avoid comparing a vague low price with a complete quote. The lowest first number may exclude sampling, labels, packaging, inspection, freight, duty, remake risk or material minimums.
Avoid authorizing bulk based only on chat approval. A controlled sample, measurement record and final specification make responsibility clearer if fit, colour or construction later becomes disputed.
